Event Promotion Strategy 2: The Right Time

As an effective event promoter you definitely already know timing is everything with events. The date, hour, season are all important to the success of your event and usually affect the overall theme. 

Evvnt Tip: Schedule your listings based on peak search trends, Fridays for weekend events, early in the month for paychecks or seasonally for maximum visibility. If you know everyone will be with their family on Christmas or at that huge annual festival, try planning a different type of experience a few weeks before or after. 

Timing doesn’t just affect the creation of your event. It also affects how you promote your event. When is the right time to speak to your audience and what is the best method to reach them?

Step 2: Import Your Contacts

You’ll need a qualified contact list. You can build a list in the ways listed in strategy 3. You can buy sketchy lists that may bounce or get your domain sent to spam. Organize the contact spreadsheet and upload them. This part can be quite annoying but it’s important. 

Step 3: Design an Email

Most email platforms have pre-made or drag and drop templates so you’ll just need your logo and brand guide to get started. You may end up staring blankly at your template for 25 minutes and wonder if “Join Us!” is too desperate. That’s natural, you don’t have to be scared but you do need to always have a solid CTA (call to action) at the top of the page and further down.

You can check out Canva for email templates if you want to use something more elaborate. 

Step 4: From Address

You’ll need a professional domain email address to send from something like hi@youreventdomain.com. You’ll also need to provide a business address to put on the footer of the email.

Your attendees aka target audience are the main character of the story you’re telling with your event. If you invited the wrong audience to an event you might be expecting a Woodstock 69’ but end up with a Woodstock 99’.

Start asking questions about the specific demographics for your venue, the general location around your venue and for the fandom of the type of event you’ll be putting on.  

Cool, now you know who to reach but how do you find those people? Build an audience via a social media platform and then, create a contact list for your email or SMS sends. Maintaining your data is imperative for event promotion.
